SquadSync Connect Privacy Policy

SquadSync Connect is a workforce management platform operated by Lay Group Labs LLC ("LayerCraft," "we," "us"). This policy describes what information we collect from users of SquadSync Connect, how we use it, and the choices you have. SquadSync Connect is used by businesses to manage employee scheduling, time tracking, and team communication; most users are employees of those businesses.

Information we collect

We collect information you or your employer provide when creating and using your account: name, email address, mobile phone number, job role and location, work schedule and availability, time clock punches, and messages sent within the platform. If you apply for a job or are onboarded through SquadSync Connect, we collect the application details and onboarding documents you submit. If you upload a certification or other document, we store the file. We also collect standard technical information such as device type and log data needed to operate and secure the service.

Mobile app

The SquadSync Connect mobile app creates a security key that stays in your device's secure storage; we receive only its public part and a device identifier, which we use to keep your sign-in bound to your device. If you turn on push notifications, we store the notification token Apple or Google issues for your device and use Expo, our push-delivery provider, to deliver notifications. The app does not track you across other companies' apps or websites and contains no advertising.

AI features

Some SquadSync Connect features use artificial intelligence provided by Anthropic, PBC. When you use them, the information needed for that feature is sent to Anthropic, which processes it on our behalf to return a result:

• Help assistant: the questions you type, and your role, so it can explain how to use SquadSync Connect.
• Schedule assistant (managers): the request you type and the schedule information it needs, such as employee names, roles, shifts, availability and time-off requests for that location.
• Action assistant (“Tell SquadSync Connect what you need”): the request you type (and, when you answer one of its questions, your earlier words in that conversation), with today's date, your time zone, and your company's location and role names, so it can propose the changes you asked for. Nothing changes until you confirm.
• Message screening: if your employer turns it on, the text of the chat messages you send is checked for abusive or unsafe content — only if you have allowed AI features.
• Text-message replies: if you reply to a SquadSync text message in your own words, the reply is interpreted so we can act on it.

We ask for your permission before any of your information is sent for the help assistant, the action assistant, the schedule assistant or message screening, and you can withdraw it at any time in your account settings. We do not sell this information or allow it to be used for advertising.

Talking instead of typing

Wherever SquadSync Connect asks what you need (the action assistant, the help assistant and the schedule assistant), you can tap Talk and speak instead of typing. Your browser or phone turns your speech into text with its own speech recognition, which may send the audio to its maker's speech service (for example Google, Apple or Microsoft) under that company's terms. SquadSync Connect does not receive or keep the audio. The words appear in the text box for you to check and change, and nothing is sent until you press Send; then they are handled exactly like typed words, as described above.

Listening starts only when you tap Talk, and stops when you tap Stop, start typing, leave the page or close the box, or after about a minute. Your browser or phone asks for permission to use the microphone first, and you can turn that permission off at any time in its settings. If talking isn't available or allowed, you can always type.

How we use your information

We use your information to operate SquadSync Connect: building and displaying schedules, recording worked time, delivering notifications you have enabled (in-app, email, or SMS), facilitating shift swaps and time-off requests, and maintaining the security of the platform. We do not sell your personal information.

SMS / text messaging

If you add your mobile phone number and enable SMS notifications in your account settings, we will send you text messages related to your work, such as shift reminders, open shift offers, shift swap requests and approvals, and time-off updates. You can reply to certain messages to take actions such as claiming a shift. Message frequency varies. Message and data rates may apply. Reply STOP at any time to opt out, or HELP for help. SMS consent is optional and is not a condition of employment.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, except with vendors who assist us in delivering text messages (such as our SMS provider), solely for that purpose.

Sharing

Your workplace information (such as schedules and time records) is visible to your employer and its managers as part of operating the platform. We share personal information only with service providers who help us run SquadSync Connect (such as hosting, database and file storage, email, SMS and push-notification delivery, and the AI provider described above), when required by law, or with your consent.

Data retention and security

We retain information for as long as your account is active or as needed to comply with legal obligations (for example, wage and hour recordkeeping). We use industry-standard safeguards, including encryption in transit, to protect your information.

Your choices

You can update your profile and notification preferences, including disabling SMS, at any time in your account settings, and turn push notifications on or off in the app. You can delete your account in the app (Account, Account settings, Delete account): your name, contact details, photo, sign-in and notifications are removed immediately, while past schedules and time records stay on your employer's record without your personal details, as wage-and-hour law may require. To request access to or deletion of your personal information another way, contact us at the address below; note that some records may be controlled by your employer or retained as required by law.
